You’ve got all your vendors booked and a pretty good idea of how you want your entire wedding day to play out - BUT you can’t possibly run the entire show yourself ~ well, not while actually enjoying your wedding day as well.  You’ve never planned a wedding before and would like to make sure you haven’t forgotten anything and you’re rather excited about handing over the stress and worry too.  You liked the planning process but are now ready to hand all your hard work over.  If this sounds like you ~ Our “Bella&Edward ~ Event Coordination” Package is the perfect fit for you!  Also referred to as our “Month of Coordination Package” is our most basic package and is commonly referred to as “Day of Coordination” by most brides - but really, we step in a month or two before your big day.  Why you ask?  Well, in the past, we have tried jumping in just the “day of” for a lower price, but have found that almost always something goes wrong.  By coming into the coordination process 1-2 months early we can ensure that the probability of something going wrong decreases exponentially which is great news for you!  Because we are professionals, we know what questions to ask and how to figure out if everything is really taken care of or if something essential may have been forgotten.  At this point you should have all of your vendors secured, but you hand all of that info over to us and we follow up with all of them and make sure that every "t" is crossed and "i" is dotted. If one of your vendors backs out last minute we are prepared with a secret contact list of vendors we have personal relationships with that we can call to fill that spot. If it rains, we are prepared to move the entire ceremony over to another prepared spot as needed. If the limo guy gets into a fender- bender, or is stuck in a traffic jam, we find you another one on the spot. What you are paying for is the assurance that anything that could possibly go wrong -will not. Your guests will have a fabulous time - and you can be completely immersed in the moment, experiencing nothing less than your best day ever.

Meet with the bride & groom, get to know you a bit and hear more about your vision for your wedding.

 

 Assistance with personalized selection and booking of up to four vendors     

You may choose from :: floral, stylist, officiant, cake, designer, entertainment, musicians, DJ, sound system, party rentals, specialty linens, catering, bar, photographer, videographer, hair and makeup, wedding attire, favors, graphic designer, limo, transportation, etc. Serve as a liaison between you and all of your Hawaii wedding vendors, maintaining all contact & coordinating all details.

 

 Serve as a liaison between you and all your vendors     

Including those you have already booked. We take over and maintain all contact and coordination of details with vendors. Just waiting for a response from the vendors can be frustrating, we’ll be the ones to call, email, “bug” the vendors, saving you lots of precious time and frustration.

 

 Contract Review     
We go over all your contracts with different vendors and make sure that you're getting everything you want and need for your special day.  We make sure you've allotted enough time for each service, that you have enough of each rental item, that you are aware of the fine print.  

 

 Organization of all wedding info   

Basically you hand everything over to us that you have done so far and we go through and organize everything for you.  We also send you simple "homework assignments" to help you organize details you may have missed.

 

 Organization of Sign-In Table    

We will instruct your Sign-In Table helpers on how to properly receive your guests. They will be equipped with the proper guest list and seating chart. They will be instructed on how to secure your wedding cards and gifts.

 

 Event Layout     
We will help create a spacial layout built to scale, customized to your wedding to ensure proper circulation and to maximize your venue space.  A copy of this layout will be distributed to all your vendors.  

 

 Refinement of Timeline & Itinerary

You'll create a general timeline, starting from the moment you wake up until the moment you retire to your honeymoon suite. You'll jot down everything you want on your special day from the bouquet toss and first dance to any ethnic traditions, etc.  We'll look it over, add in all vendor details and advise you as to how to make everything flow smoothly and seamlessly.  

 

 Choreography of Ceremony - with bridal party & music cues    
You choose the music you'd like to play during the main events of your day, from the song you walk down the aisle to to your first dance.  We make sure the DJ plays the music at the precise moment, the cues are in place to make the most of all song selections and the moments they are supposed to capture. 

 

 Monthly Calendar, Check List 
We have created an "Ultimate Wedding Checklist" for all our brides which outlines exactly what you should be working on in the months leading up to your big day.  This list includes everything from booking your venue in month 12 to stretching out your shoes in month 2.  It also outlines what we will be doing for you and what you can expect from us month by month.  Along the way you will also be given a few simple "homework" assignments that help us organize your wedding details.  You'll be given plenty of time to complete these tasks and we have it organized in a way that makes it fun and easy to complete. 

 

 Final Walk Through of Ceremony & Reception Sites
Make sure all the "i"s are dotted and the "t"s are crossed, we run through the entire site and make sure everything is in place.  All the vendors are clear about what they will be setting up, where they will park and enter, if they have to bring any special equipment, etc. 

 

 Rehearsal Management
Anywhere from a week prior to the night before you say your I dos, we meet with the couple and their bridal party and anyone else who plays a major part in the ceremony.  We run through the procession a few times until everyone is comfortable and knows where they need to be and when.  You do not need to pay your officiant an extra fee to be here to do this, we will handle it for you. 

 

 Set Up and Break Down of Ceremony and Reception       
We are the first ones to arrive and the last to leave.  We endure that everything is set up - centerpieces, guest favors, all decor items, signs, etc.  We also direct all vendors on where to go and what to do.

 

 Unlimited Wedding Day Management
You will have TWO Professional Wedding Coordinators and Event Designers on site at all times.  We are there from the beginning until the very end of the day to ensure everything runs smoothly. 

 

 Assistance with distributing final payments and gratuities to all vendors     
Any payments due on the day of the wedding we can distribute to the proper recipients, along with any gratuities you'd like to hand out.  You hand over these payments in form of a check, preferaly when we meet for the rehearsal, so that this is one less thing you need to worry about on the day of.  

 

 Insured delivery and return of rental items      
We are on-site to receive your rental items, make sure the right items are dropped off and ensure that everything is where it needs to be for pick up.  

 

 Bridal Emergency Kit  
We have a suitcase filled with items in case of emergency.  Say your bustle breaks (we can sew it on site), or your bridesmaid suddenly gets her period (no problem), or the florist forgets extra pins for the boutonnieres (we got this!), or maybe the DJ forgot his extension cord ... You might be overwhelmed by how big of a process planning a wedding really is or you just might be unsure as to how to pull it all together. Or sometimes life just happens, you get a big promotion at work and all of sudden all your free time that was originally dedicated to planning your big day is now spent at the office.

Best Day Ever had a tricky task when taking us on as clients. We were a local and destination wedding all in one. I have a big family in Colorado, and my fiance has a big family on Oahu. In a perfect world I would’ve been able to plan our wedding myself, but planning a wedding mid-school year from across the ocean was not an option. They were able to do the research for us and all we had to do was make choices. They were flexible with our busy schedules (both of us are teachers) and managed to create a day that fit our needs well. With a tight budget and a huge guest list, they were able to turn our hopes into a reality. We were able to stay in budget, and they made the planning and implementation process so much easier for us. I am so thankful we chose them. We did the all inclusive planning package, and if you can make it work in your budget, I would highly recommend that, especially if you are not in Hawaii to do the research yourself. The few months I tried to plan by myself became way too much. Their knowledge of what is available and pricing with vendors made it all so much easier. My destination wedding’s a year away and I don’t even know where to start! Eek! I live in Ireland and i’m getting married in Hawaii. We absolutely HAVE to get a wedding planner. Best Day Ever were great wedding planners. I had them for the full coordination package and worked mostly with Nicole for the first few months. After a few phone calls, looking at my pinterest board, and discussing our budget, she got a feel of what my husband and I wanted and was able to give us 2-3 options for every vendor. This took a few months, since we had to do tastings and trials, but we were super happy with all our vendors. They all matched the style that we were looking for and she even knew who I’d end up picking. She was very conscious of what we budgeted and never showed me a vendor out of our price range. I think that maintaing a budget is one of the most important qualities in any wedding planner.

They put together awesome layouts of our reception that we chose from and was super accommodating to my changes. Most importantly they made the days before my wedding as stress-free as she could. Since I live in California, I had a whole list of things that I needed to do when I got to Oahu and they took that all off my plate (which was the best wedding present I could have asked for). Nicole and the rest of BDE also took care of all my DIY projects which saved me, my mom, and my mother-in-law from tying 1000 ribbons on 1000 different things.

The day of was also great. They were all running around taking caring of things that I had no idea needed to be done. We had a small power outage in our tent during a performance and I didn’t even realize - I thought it was part of the performance. They took care of it super quickly without my husband and I even knowing. Also, my bustle was taking about an hour to tie up until finally Nicole stepped in, worked her magic and had it up in a few seconds! Lastly, they packed up all the things that were left at the venue and delivered it all to my mother-in-law’s house so we didn’t have to do anything after the wedding. Overall, great team and (more or less) stress-free wedding!

My now-husband and I found Erika & Nicole just about 2 1/2 months prior to our big day. We had the very romanticized idea that we could plan our day on our own, but as two very busy working professionals with every intention to get a wedding planned, we just never got around to it. My husband and I have said to each other several times since our wedding that hiring Erika and Nicole was one of the best decisions we made. We were the type of couple that had a very distinct picture of how we wanted our wedding day to be. We spent several months planning and coordinating things ourselves, but knew when it came to the big day that we wanted to completely relax and enjoy ourselves. Our florist at the time offered “Day of Coordination” services, but she had to back out of the commitment about a month before the wedding. So we were in a bit of a pinch and needed to find new coordination. We researched and consulted with different coordinators before we decided wholeheartedly on Best Day Ever, and boy was it the best decision ever!

Not only did they offer day of coordination services, but they agreed to come on just one-month before our wedding. They poured through our contracts, coordinated with vendors, and met with us about once a week. Their goal was to make sure our vision for the big day was being carried out exactly how we wanted it.

When it came to our wedding day, I can truly say we were able to relax because of Erika and Nicole. They day of our wedding began with pouring ran and they reassured us by routinely checking on me and telling me that the pouring rain would stop and the sun would come out, based off the weather reports they kept following. Sure enough the sun did come out and dried everything up just two hours before the ceremony! When it came to the wedding itself, they were like two well-oiled machines. We needed to make a couple of adjustments to the layout because of the rains, but it was totally handled without issues.

These two lovely ladies make a great pair. Nicole has a background in design and helped us create a postcard (which everybody loved) for our out-of -town guests. Erika was the only person who could get our 2- 1/2 year old flower girl to keep the beautiful rose haku lei on her head during our photos! Together they ran the show.

Erika and Nicole went above and beyond on our wedding day. We had a few glitches with our Bartending Service. They were understaffed and didn’t have anyone to bus the glassware, so Erika and Nicole took it upon themselves to do it. We were married at an outdoor venue and weren’t allowed to smoke. Some family members busted out cigars at the end of the night, and we later learned that Erika and Nicole were walking around with flashlights picking up cigar butts. Trust me, these girls know what they’re doing and work their butts off to make your wedding day a success. My husband and I cannot vouch for them enough! So if you want your wedding day to go off without any glitches and want piece-of-mind that you and any of your family members will not have to stress on the big day, then hire Best Day Ever - they were worth every penny!

If I had to explain Best Day Ever in three words... I wouldn’t be able to because there are not enough words to explain how AMAZING they are! From the start, Erika and Nicole were emailing me and always keeping me informed and going up and beyond. Being a wedding photographer it can get difficult with planning the amount of time appropriate for formal picture taking and fitting enough time for details, etc. Best Day Ever would ALWAYS think of me and make sure everything was taken care of asap. These two girls are nothing short of fabulous and SO easy to work with. Through our emails I formed a friendship and could easily talk to them like we were old friends, THAT is the kind of people all brides need helping to plan their big day. Words can’t even describe how ecstatic I am with Nicole and Erika! I really needed a wedding coordinator just to help with timeline and prepping the reception since we had them in two different places but what I got was that and WAY MORE! I worked with Erika and she was like an angel! I hired her almost a year and a half prior to my wedding all freaked out and she kept me on a straight path! Everything was super organized and she kept track of things that you would have never even thought of! She was even on top of my brother-in-law who turned a 5 minute Best Man speech into a 45+ minute lecture on nonsense. LOVE LOVE LOVE LOVE LOVE BDE! Erika and Nicole were a huge help the whole year before our wedding. When my fiancé and I got engaged, we knew we’d need help planning our wedding in Hawaii since we lived in California and weren’t able to take care of everything on our own.

Our wedding day went flawlessly, exactly like we had hoped. If there were any issues, Nicole and Erika handled them perfectly and we had no idea :)

From my wife: We hired Best Day Ever for our wedding last month based on Nicole and Erika’s reviews - my husband and I both agreed that it was the best investment we made in our wedding! I’m a bit of a control freak but was worried about ordering the rentals for our site (we had to bring in EVERYTHING) and didn’t want to have to run around frantically on the day of our wedding, so we opted for the month-of planning package with an event coordination add-on (they determined our needs and organized all of our rentals, from table and chairs to silverware). I liked that we were able to customize their services to our needs, since I felt confident I could hire the right vendors and had a clear vision of what we wanted for our big day but realized we needed help if we wanted to truly enjoy our wedding.

The month of our wedding rolled around before we knew it, and as promised Nicole took over all of our contracts. I was happily surprised that she took over all communication with vendors - I didn’t have to interact with anyone but Nicole the month before my wedding, and she responded quickly to every request, communicating all our needs to our vendors. The week before the wedding we met with Nicole to go over last minute details; she provided us with the most detailed timeline imaginable and took all the decor items to bring to the wedding venue.

The timeline gave me confidence that she had a great handle on all the wedding details but the best part was that I didn’t have to look at the timeline at all - on the day of our wedding, Nicole directed the day flawlessly and deftly coordinated our many vendors.

My Fiance now Husband and I live in LA- I am from LA and he is Australian. I work in Entertainment and he founded and runs a non profit...we have crazy day to day and knew that planning the kind of wedding that we would want (super fun, unforgettable and won’t put us in the poor house.) we would need help.
Hawaii is the middle for our American and Australia guests. SO we knew we were going somewhere in Hawaii! I cross referenced every review and these blogs and it was an easy choice Best Day Ever - Nicole and Erika deserve every review. They helped us pick the Island - Oahu - They gave us the best list of locations and we picked the Ihilani at the JW Marriott they connected us with the most fabulous range of vendors and set up trial runs and meetings. They basically made wedding planning fun and easy. I do not know much about flowers or cakes or anything..and they brought me the best in their field and we picked from there. Nic and Erika get to know you and help you fill in the blanks when you may not be able to articulate what you want “but you know what you want” they helped us stay on and in our budget.

AVAILABILITY - They emailed and called and were available to us 24/7..they would always get back to emails in a timely fashion and were efficient and effective with our time and theirs. Couldn’t ask for more.

COST - They have a package style for every budget and every need. We went full package because we didn’t have the time really. But there is no doubt that their cost is offset by the deals and savings they negotiate. Hawaii is not a simple place to navigate price wise you need these girls on your side. Save yourself time and money and peace of mind.

Overall, Best Day Ever and these girls have Hawaii wired they know how to do what they are doing and you as a bride/groom get to benefit because of their awesome relationships and stellar reputations. They have gone above and beyond in so many instances I can’t even count. Hire BEST DAY EVER to plan your wedding. It will be the best decision you make (other than picking your future spouse.) Our wedding is on their blog check it out. It was 125 people and the budget didn’t break our banks.

But the biggest reason to bring the Best Day Ever team on is because they prioritize your wedding like it is their own...they are purest in the best use of the term. On a personal note I was not excited to have a wedding because planning it was a constant reminder that I lost my father last year and lost my mom to cancer a few years back. No mom to help me do the fun mother daughter planning and no dad to walk me down the aisle and all the things as parents they looked forward to doing. Nic and Erika made sure to make sure my parents were present in the ceremony in a unique hawaiian spiritual way they did something I didn’t think possible. They created moments for my parents for me and my family and that is priceless. They just want to make your wedding the very best experience in your life and they truly care about creating that for their couples. Life for us is about experiences with friends and family because you never know how long you will have people. Life is precious and we wanted our wedding to be an opportunity to shower our friends with love and have them share the most special moment of our lives together. Yes we could have used the wedding budget towards buying a house but to us the wedding was a bigger investment and it was wisely spent because we had BEST DAY EVER.
