Full Planning includes:
✓ Vision Overview + Budget Breakdown
At the start of planning it is important that we get a good feel for your vision. There is usually several rounds of e-mails or phone calls that help us define this vision and get to you know you guys as a couple. From that point we will help you to create a wedding budget that you are comfortable with. The wedding budget will outline all event costs like the venue, the rentals (tent, tables, chairs, linens, etc.), catering, bar, dj, emcee, musician, florals, videography, etc. We’ll break it down for you line-by-line so that you can see exactly where your money is going. Then you can decide what you do and do not want to include. Once the budget is set we will start getting venue options organized for you and then we’ll begin securing vendors one by one. As the date draws closer we will be in communication mostly through e-mail but we may also schedule phone or in-person meetings as needed. There is always one BIG final detail meeting about a month prior to your wedding day to go over all final details.
✓ Venue Analysis
With the Full Planning package you will get a detailed and through venue analysis complete with a budget outline for each venue option. We narrow down the hundreds of venue options for you based on your vision and total budget to a “Top 3 (or 4) Venues” which are researched and organized for you then presented in an easy to understand way that makes choosing your venue less stressful and a lot more fun. We will present you with the top options, break down all the hidden costs, give you notes on all the pros and cons, add in photos and location details that would take weeks for you to figure out on your own. Plus, to make it way easier for you, we don’t show you 100 options, just the best possible ones that are the best fit for you. It’s a process that we’ve gotten down pretty well and which most of our destination couples find invaluable. Even if you just have a $20,000 or $30,000 full wedding budget, this is totally do-able for a smaller guest count of 20-60 guests - we can show you how you can make it work.
✓ Assistance with personalized selection and booking of all vendors
You may choose from :: floral, stylist, officiant, cake, designer, entertainment, musicians, DJ, sound system, party rentals, specialty linens, catering, bar, photographer, videographer, hair and makeup, wedding attire, favors, graphic designer, limo, transportation, etc. We will serve as a liaison between you and all of your Hawaii wedding vendors, maintaining all contact & coordinating all details.
✓ Serve as a liaison between you and all your vendors
We take over and maintain all contact and coordination of details with vendors. Just waiting for a response from the vendors can be frustrating, we’ll be the ones to call, email, “bug” the vendors, saving you lots of precious time and frustration.
✓ Contract Review
We go over all your contracts with different vendors and make sure that you're getting everything you want and need for your special day. We make sure you've allotted enough time for each service, that you have enough of each rental item, that you are aware of the fine print.
✓ Organization of all wedding info
Basically you hand everything over to us that you have done so far and we go through and organize everything for you. We also send you simple "homework assignments" to help you organize details you may have missed.
✓ Wedding Design
If you already have a Pinterest Board we will follow you and help bring your ideas to life. If you do not, we will be sending specific questions that will help you pull your design together. If you aren’t sure where to start we are here to help and guide you.
✓ Assistance with invitations, stationery and other print work
Based on your style and budget, we’ll recommend different stationery sets for your all your wedding needs, including but not limited to save the dates, invitations, RSVP cards, thank you cards.
✓ RSVP Organization and Handling
Once all RSVPs are collected we can put into spreadsheet and organize by last name, includes addresses, # of guests, food choices, etc. Option to have RSVP’s send directly to BDE for Full Coordination Packages only.
✓ Organization of Sign-In Table
We will instruct your Sign-In Table helpers on how to properly receive your guests. They will be equipped with the proper guest list and seating chart. They will be instructed on how to secure your wedding cards and gifts.
✓ Event Layout and Seating Assistance
We will help create a spacial layout built to scale, customized to your wedding to ensure proper circulation and to maximize your venue space. A copy of this layout will be distributed to all your vendors.

✓ Refinement of Timeline & Itinerary
You'll create a general timeline, starting from the moment you wake up until the moment you retire to your honeymoon suite. You'll jot down everything you want on your special day from the bouquet toss and first dance to any ethnic traditions, etc. We have a simple worksheet that helps you decide what you do and do not want to include that day. We take your notes and turn it into a wedding day timeline. We add in all vendor details and advise you as to how to make everything flow smoothly and seamlessly.
✓ Choreography of Ceremony - with bridal party & music cues
You choose the music you'd like to play during the main events of your day, from the song you walk down the aisle to to your first dance. We make sure the DJ plays the music at the precise moment, the cues are in place to make the most of all song selections and the moments they are supposed to capture.
✓ In-depth Timeline Assistance and Review
We put everything together on a master timeline. Every single what, where, when and how for the bride and groom, vendors and coordinators will be scheduled down to the minute for precision, all music cues for DJ, notes and speech for Emcee, list of speech givers, order of procession, instructions for the entire vendor list and bridal party will be spelled out. We distribute this timeline to all vendors, venue, speech givers, and anyone else who needs to be "in the know".

✓ MC Speech Review
We'll meet with your MC in advance to go over the reception timeline and his/her speech to ensure that everything runs smoothly and to eliminate any awkward moments on the day of.
✓ Wedding Detail Organization
With the Full Planning package we are going to be handling all the details and we’ll organize all your planning info. for you. Along the way you will also be given a few simple "homework" assignments that help us organize your wedding details. You'll be given plenty of time to complete these tasks and we have it organized in a way that makes it fun and easy to complete.
✓ Contact Friends and Family involved with the Wedding
We will your bridal party, friends and family lending a hand with the wedding through email or over the phone to ensure that everyone involved is in the loop and has the proper information on what time to arrive, where to meet, etc.
✓ Final Walk Through of Ceremony & Reception Sites
Make sure all the "i"s are dotted and the "t"s are crossed, we run through the entire site and make sure everything is in place. All the vendors are clear about what they will be setting up, where they will park and enter, if they have to bring any special equipment, etc.
✓ Rehearsal Management
Anywhere from a week prior to the night before you say your I dos, we meet with the couple and their bridal party and anyone else who plays a major part in the ceremony. We run through the procession a few times until everyone is comfortable and knows where they need to be and when. You do not need to pay your officiant an extra fee to be here to do this, we will handle it for you.
✓ Set Up and Break Down of Ceremony and Reception
We are usually the first ones to arrive and the last to leave. We ensure that everything is set up - centerpieces, guest favors, all decor items, signs, etc. We also direct all vendors on where to go and what to do. In short, we will handle everything so that you and your guests can ENJOY your wedding day.
✓ Unlimited Wedding Day Management
Unlimited means UNLIMITED. We don’t have a time limit and will be there to handle everything for you. We are there from the beginning until the very end of the day to ensure everything runs smoothly.
✓ Assistance with distributing final payments and gratuities to all vendors
Any payments due on the day of the wedding we can distribute to the proper recipients, along with any gratuities you'd like to hand out. You hand over these payments in form of a check, preferably when we meet for the rehearsal, so that there is one less thing you need to worry about on the day of.
✓ Insured delivery and return of rental items
We are on-site to receive your rental items, make sure the right items are dropped off and ensure that everything is where it needs to be for pick up.
✓ Bridal Emergency Kit
We have a suitcase filled with items in case of emergency. Say your bustle breaks (we can sew it on site), or your bridesmaid suddenly gets her period (no problem), or the florist forgets extra pins for the boutonnieres (we got this!), or maybe the DJ forgot his extension cord ... We've got you covered!
✓ 3 Add’l In-Person (or over the phone if off island) meeting before the wedding to go over all details
So much goes into planning your wedding, once we've received all your wedding information - contracts, balances, ideas, timelines etc. we'll schedule an in-depth meeting to go through everything. This final meeting is usually held about a month or so prior to your wedding day. Two additional in person meetings may be scheduled to go over misc. details, as needed.
